How much does EquipQA cost?
EquipQA is free for teams right now. There are no hidden fees, no credit card required, and no usage limits. Paid plans for larger departments will be announced in advance, and existing users will always receive preferred pricing.
How is our data protected?
EquipQA is built with HIPAA-aware security practices. All data is encrypted in transit (TLS) and at rest. Access is scoped per organization — users outside your department cannot see your reports or equipment records. We do not share or sell any data.
Will EquipQA reports satisfy Joint Commission auditors?
EquipQA generates dated, signed PDF reports that include device identification, reference instrument serial numbers and calibration dates, measured values, pass/fail determinations, and a summary of findings. These reports are designed to meet the documentation expectations of Joint Commission EC.02.04.01 and related standards. We recommend reviewing your specific accreditation requirements with your compliance team.
Which equipment types are supported?
Currently supported: dental X-ray (AAPM TG-175 protocol), anesthesia vaporizers, steam autoclaves (including engineering certificates with NIST traceability), and ECG/EKG machines. Additional device types — including patient monitors, infusion pumps, and surgical equipment — are on the roadmap. Signed-in users can submit feedback to help prioritize what's built next.
Can my whole department use it together?
Yes. EquipQA supports multiple users under a single organization account with role-based access control. Administrators manage the account and can see all reports; technicians log results; and Paused accounts retain read access without the ability to modify records. There is no per-seat fee.

August 2026
Full audit trail on every report — Every edit, finalization, unfinalize, deletion, and restore is now permanently recorded — who did it, when, and why — and can never be altered or erased after the fact. A new History panel on each report shows this complete timeline.
Corrected certificates supersede instead of overwrite — Fixing a finalized report now creates a new revision (Rev B, Rev C, ...) while the originally issued certificate is preserved exactly as issued, with the reason for the correction recorded.
Deleted reports are recoverable, not gone — Deleting a report now requires a reason and can be undone from the History panel, instead of permanently erasing a compliance record.
Equipment recall dashboard — A new Equipment page lists every piece of equipment your team has serviced, with next-due dates, at-a-glance overdue/due-soon flags, and search & filters, so nothing slips past its recall interval.
Equipment records now created automatically — Equipment you test in a report is now automatically added to (or matched against) your Equipment Database, so the recall dashboard stays populated without extra data entry.
Fixed duplicate results in equipment search — The equipment picker could occasionally show what looked like the same device twice; search now always returns each match once.
Certificates generate without freezing the page — Generating an X-ray, autoclave, or vaporizer certificate — especially for reports with several devices — no longer risks a "page unresponsive" prompt while the PDF is built.
Reports now survive losing your connection — Saving a report always writes to your device first, so a dropped Wi-Fi signal or dead zone in a hospital basement never loses your work. Once you're back online, the report syncs to the server automatically in the background.
Sync status indicator — A status badge in the report toolbar shows whether your report is saved locally, syncing, or fully up to date on the server, with a tap-to-retry action if a sync attempt is waiting.
Photos upload independently and retry on their own — Each photo you attach syncs on its own in the background, so one slow or failed photo upload never blocks the rest of the report from saving.
Safer conflict handling — If a report was edited elsewhere while you were offline, you're now clearly warned and given the choice to keep your local version or load the latest one, instead of silently overwriting someone else's changes.
Warnings before you could lose unsynced work — Closing the tab or logging out while a report hasn't finished syncing now prompts a confirmation first.
Add EquipQA to your phone's home screen — iPhone and iPad users now get in-app instructions for adding EquipQA to their home screen for quicker access in the field.

Vaporizer manufacturer/model dropdowns — Select from the built-in catalog of 20+ makes and models (Dräger, GE, Mindray, Penlon, Getinge, and more); free-text fallback for unlisted devices. Tolerance auto-fills on model selection.
Brands & Standards settings tab — Administrators can view and edit the vaporizer tolerance catalog (manufacturer, model, pass/fail %) that drives automatic tolerance selection for the concentration accuracy test.
Administrator settings: Permissions & Branding subtabs — The Administrator settings tab now has dedicated Permissions and Branding sub-sections for a cleaner layout; Branding is no longer a separate top-level tab.
Default tolerance annotation — The concentration accuracy test always shows the spec baseline (e.g. "Default: ±15%") next to the tolerance override field so engineers can see the reference value at a glance.
